Privacy Policy
This policy summarizes how TeaManager handles account, club, staff and player information inside the product. Last updated: 13 October 2026.
1. Data we collect
We may process identification and contact data such as name, email address, role, associated organization and other information provided when creating or using an account.
The platform may also store operational data related to teams, players, planning, internal communication and product activity.
2. Player record and ID document
The club may record each player's date of birth, address, phone, an emergency contact and, for minors, their legal guardian's details. This data is used to process sports federation licences and insurance, organise travel and get in touch in an emergency.
The ID card or passport number is only stored if the player (or their legal guardian) has given explicit consent, which is recorded with its date (Art. 6(1)(a) GDPR). Consent can be withdrawn at any time from the record itself; the number is then deleted.
The record is only visible to the club's sporting director, the staff of the player's teams and the player.
3. Minors
For players under the age of digital consent in their country (14 in Spain), consent to process their ID document must be given by the parent or legal guardian. The club is responsible for obtaining and keeping that consent.
4. Travel documents, announcements and payment proofs
The club may attach travel documents (tickets, accommodation bookings, itineraries or authorisations) to a match. Documents addressed to one player are only visible to that player and the staff; the rest, to the squad of the team involved.
To deliver staff announcements, the mobile app registers a device notification identifier. You can turn notifications off in your phone settings; signing out deletes the identifier.
If you report a fee payment from the player portal you may attach a proof of payment (PDF or image). Only you and the club management can see it, and it is used solely to confirm that payment.
5. Controller and processor
Each club is the controller of its players' and staff's data. TeaManager acts as a processor (Art. 28 GDPR), processes data only on the club's instructions and applies security measures such as role-based access control and private document storage.
6. Purpose of processing
Data is used to provide access to TeaManager, manage the account, improve club operations and enable features related to planning, administration and analytics.
It may also be used for security, technical support, abuse prevention and ongoing product improvement.
7. Retention and access
Data is retained for as long as necessary to provide the service, comply with legal obligations and preserve basic account and product usage traceability.
Access to information should be limited to authorized users within the club and to technical personnel who require access for maintenance or support.
8. Rights and requests
Users may request updates or review of their personal data and, where applicable, deletion or restriction of processing under applicable law.
Privacy-related requests should be directed through the project's support or operational contact channel.
